Rental Car Eligibility
If you are flying to your assignment: We will arrange a rental car pickup at your arrival airport.
If you are not flying but live more than 1 hour away from the training or launch site: We will provide a rental car pickup from the airport closest to you.
Age and License Requirements
Age Requirements:
- Canada travel: You must be 21 years of age or older to rent a car
- US travel: You must be 18 years of age or older to rent a car
If you are under the required age or do not have a valid driver's license: You may use ground transportation and expense it through Concur.
License Requirements:
- You must have a valid, unexpired, physical driver's license
- Rental car agencies will not accept digital licenses
- Damaged licenses (with holes, missing pieces, etc.) will not be accepted
- Rental cars can only be booked in your name
At the Rental Counter
Do not provide your debit or credit card at the rental counter. If there is a billing issue when you try to pick up the car, contact the Assimilation Team while you are at the counter.
Giving the counter your card information may result in the full rental car charge going on your personal card.
Rental Car Type and Upgrades
An intermediate, automatic car is provided in your rental agreement. If the rental company says they have none of that car type available, they must provide you with a comparable car or a free upgrade.
If they tell you they have no cars available at all, please contact the Assimilation Team immediately.
Rental upgrades are not available through the Assimilation Team. Sometimes you can join the car rental rewards program and receive a free upgrade. If upgrades are not free, you should decline.
Authorized Drivers
Only blue badge Amazonians 18 years or older (21+ in Canada) can drive the rental car. Do not add any additional drivers to the contract.
Fuel Policy
You will pay for fuel out of pocket and use your receipts to add to your expense report. Amazon only covers fuel for business-related purposes (driving to and from site).
Important fuel requirements:
- You must have a receipt in order to expense the fuel
- The rental must be returned with a full tank of fuel
- Do not prepay for fuel
Mechanical Issues
Report any mechanical issues to the rental company. They should be able to correct the issue or provide a new car.
Accidents
If any accidents occur during your assignment:
- Contact the rental agency immediately to inform them of the accident
- Work with Risk Management to submit an accident report
- Obtain a police report if possible
Changing Rental Car Locations
Be sure to check your itinerary once you receive it. There is a cost to change rental car locations after you have picked up the car. Based on this, the Assimilation Team may not be able to honor your request.
