This article explains our policy regarding hotel location changes for travelers on assignment. We understand that you may prefer to stay at a different hotel for various reasons, but there are important limitations and considerations that govern these requests.

Why We Cannot Always Accommodate Hotel Changes
While we strive to provide convenient accommodations for all travelers, we book hotels based on specific criteria including:
- Hotel contracts and availability
- Proximity to work sites
- Team size requirements
- Budget constraints
Important: Just because you see other hotels closer to your site does not mean we can book with those properties. Our hotel selections are based on contractual agreements, availability, and other operational factors.
Hotel Booking Types
Helms Briscoe (HB) Contracted Hotels
If your hotel was booked through Helms Briscoe, this is a contracted hotel stay. All travelers assigned to this booking will stay at the hotel(s) listed within that specific contract. These arrangements are legally binding and cannot be changed for individual preferences.
BCD Non-Contracted Hotels
Hotels booked through BCD are non-contracted stays. These bookings typically occur when:
- Team size is inadequate for contract requirements (we need a minimum number of travelers to secure group contracts)
- Timing or availability constraints prevent contracted bookings
- Other operational considerations apply
Availability Limitations: While we do our best to keep entire teams together, there are often limitations due to hotel availability. Additionally, hotels frequently deny multiple reservation requests for groups without a contract in place, so teams must be split to ensure compliance.
Requests We Cannot Accommodate
We will not change your hotel for the following reasons:
- Wanting to stay at the same hotel as other team members
- Preferring a different hotel's amenities or location
- Personal preference to swap with a friend or colleague
- Proximity to other hotels that appear closer to the site
Why We Maintain This Policy
Frugality is a Leadership Principle at Amazon. Changing hotels incurs heavy fees and administrative costs. While we want to be accommodating to our travelers, we must balance individual preferences with fiscal responsibility and operational efficiency.
When Hotel Changes May Be Considered
Hotel changes will only be considered for:
- Documented accessibility needs
- Safety or security concerns
- Extenuating circumstances requiring management approval
